Almost every online application asks for a photograph and a signature with very specific rules, for example a size range in KB, exact pixel dimensions, and JPG format only. Uploads that break any one rule are rejected, sometimes without telling you why.
Read the rules first
Look for three things in the notification: dimensions (in pixels or centimetres), file size (a minimum and maximum in KB), and format (usually JPG/JPEG). Requirements change between organisations and even between years, so always use the current notification rather than a number you remember.
The right order of steps
- Crop with Crop Image so the photo shows your face and shoulders, or the signature fills the frame with a little white space around it.
- Resize to the exact pixel width and height with Image Resize. Lock the ratio if the form only gives one dimension.
- Compress to the KB range. Go for the middle of the allowed range rather than the edge.
- If the form needs JPG and your file is PNG, convert it before uploading.
Tips for a clear signature
- Sign with a black or dark blue pen on plain white paper.
- Photograph it in daylight, straight on, without shadows.
- Or draw it directly with Signature Maker and download a clean image.
Common reasons for rejection
- The file is too small, many portals also have a minimum size.
- The photo is too dark, blurred, or has a busy background.
- The image was resized in a way that stretched the face.
